Before you start

Is this the right guide for you?

Use this guide if

  • Your profile is verified and receiving reviews.
  • You want to reply, report a review or start asking customers for reviews.

Check another path if

  • The profile isn’t verified yet: verify first.
  • You want a review removed only because you disagree with it.
The short version

Reviews in three moves

Reply from your profile: replies appear publicly as the business, after Google checks them against its content policies. Reviewers are notified and can still update their review.

Report a review only when it breaks Google’s policies, and track the report in the Reviews Management Tool. When you ask for reviews, ask customers generally and offer nothing in return.

  • A verified profile to reply
  • Your review link or QR code to share
  • Calm, factual replies that represent the business

Reply, report or request a review?

The right action depends on the situation. This table summarizes Google’s published review and contribution rules.

The practical walkthrough

3 practical steps. One clear next action.

Read the key points here. Open the extra detail only when you need it.

  1. Step 01

Reply to reviews from your profile

    • Go to your Business Profile, select Read reviews, then Reply next to the review. You must verify the business first.
    • Google checks every reply against its content policies. Replies usually take up to 10 minutes to review but can take up to 30 days.
    Details & things to check

Approved replies appear publicly under the review as coming from your business; your personal name isn’t shown. The reviewer is notified and can still change their review afterward. You can edit or delete a reply later from the same place.

  2. Step 02

Report reviews that break the rules

    • You can report any review, but only those that violate Google policies are eligible for removal. Google asks you not to report a review just because you disagree with it.
    • From your profile, select Read reviews, then Report next to the review, choose a reason such as Spam, and send the report.
    Details & things to check

Google says evaluation typically takes several days. You can check the status in the Reviews Management Tool; if no violation is found and you disagree, you can submit a one-time appeal there. If your profile is targeted by an extortion scam involving negative reviews, Google has a separate reporting route.

  3. Step 03

Ask customers for reviews the right way

    • Share your review request link or QR code with customers.
    • Google does not allow merchants to offer incentives, such as payment, discounts or free goods or services, for posting a review or for revising or removing a negative one.
    Details & things to check

Google also does not allow merchants to discourage negative reviews or selectively ask for positive ones, to pressure customers to review on the premises, or to request specific content. Asking for genuine reviews, without incentives or attempts to influence the rating, is allowed.

What to avoid

Common mistakes

  • Offering a discount, gift or entry into a draw in exchange for a review.
  • Sending review requests only to customers you expect to be happy.
  • Reporting a negative review that doesn’t break any policy.
A few useful answers

Before you continue

Can I delete a bad review?

No. You can report a review, and Google removes it only if it violates its policies. A negative review that follows the policies stays up; you can reply to it instead.

Why isn’t my reply showing yet?

Google reviews each reply against its content policies first. That usually takes up to 10 minutes but can take up to 30 days; if a reply isn’t approved, you’re asked to edit it.

Can staff ask customers for reviews?

Yes, if they ask for genuine reviews without incentives. Google doesn’t allow merchants to set staff targets for a number of reviews or to ask for reviews that include specific content, such as naming a staff member.

What happens after I report a review?

Google says evaluation usually takes several days. The Reviews Management Tool shows whether the decision is pending or whether Google found no policy violation.

Can I appeal a review report decision?

Google provides a one-time appeal option when a reported review was found not to violate policy. The appeal is reviewed separately, but removal is not guaranteed.

Can I offer a gift or discount for an honest review?

No. Google prohibits incentives such as payment, discounts or free items in exchange for reviews, even when the business asks for an honest rating.
